What's new in QuickBooks 2008/09

A number of major changes to the software

QuickBooks 2008/09 incorporates a number of major changes to the software. You'll see many of these changes right away when you open QuickBooks for the first time. A new work area design and updates to many of the tools you use have helped streamline workflows, so you can now access most tasks with only a couple of clicks. There are also many improvements you won't see --such as a completely new database structure and many enhancements to the underlying code. But you'll soon recognise the improvements in stability, security and performance resulting from these changes.

Behind the scenes

Although you won't be able to see most of them, major enhancements to the underlying structure and function of the software have made QuickBooks 2008/09 more stable, more secure, and more flexible than ever. Some of the key improvements are outlined below.

A new QuickBooks SQL database provides enhanced stability, and can scale with a business as it grows. This powerful, industry-standard SQL (Structured Query Language)database uses client-server technology in multi-user mode to coordinate and manage access to the company file. The SQL database is created during installation and managed by QuickBooks, so you will realise the benefits without even needing to know it's there.

• A new location for company and sample files means you no longer require Administrator access to work with QuickBooks.
• The audit trail is always on in QuickBooks 2008/09.
  (The audit trail is switched on when a company file is upgraded.)
• All the additions, deletions, and modifications made to transactions in your data file are automatically tacked.
  This ensures that an accurate record of your data is maintained.

QuickBooks 2008/09 looks new

The design and layout of features have been reconsidered in QuickBooks 2008/09. Displays have been updated and simplified, workflows have been streamlined, and you can now customise the appearance of your company desktop.

The new Home page provides an overview of all your essential business tasks and how they fit together. Some features of the new Home page layout include:

The company desktop can now be customised by each user. You can customise colour and content, and arrange toolbars and icons to suit the way you work.

The display is linked to user security privileges. Users will see only the options they are allowed to use.

New Customer, Supplier, Employee and Report Centres have replaced all navigators in the earlier version.

These Centres provide access to related tasks, so you can complete entire workflows from a single location.

New and enhanced features

Many enhancements have been made to the features you use every day, giving you more control of how things are displayed or printed. New features have been added, as well, to help make basic tasks easier to complete. Some examples of these enhanced and new features include:

• Adjustable sizing for drop-down displays
• Adjustable column widths in forms
• Choose columns to appear in Lists
• Enhanced Payroll features
• Enhanced Tax features
• Enhanced Units of Measure features
• Enhanced form design layout
• Batch emailing of forms
• New cheque reorder reminder utility
• New backup wizard
• New portable file wizard
• New Clean Up Company Data wizard
• New Google Desktop tool, with additional QuickBooks-only preferences and features

New and changed Preference Options

QuickBooks 2008/09 lets you choose default actions and messages by setting preferences. A number of new preference options have been added, and some preferences have been changed or removed since the earlier version. Some examples of new and changed preferences include:

• New Date warnings preference for transactions
• New Add available time/costs to invoices preference
• New Turn off pop-up messages for products and services preference
• New Receive Payments preferences
• New Items &Inventory preferences, changed from previous Purchases and Suppliers preferences
• New Bills preferences window, changed from previous Purchases and Suppliers preferences
• New Tax preferences
• New Send Forms default message text preferences
• Debt Recovery preferences have been discontinued
